Job Overview
This is a dynamic, multi-functional position combining three essential focus areas:
- Website Management & Content Creation (WordPress CMS, Squarespace, LearnWorld, SEO, branding)
- Technology Systems Administration (Google Workspace, cybersecurity, device support, troubleshooting)
- Software Integration & Reporting (QuickBooks + potential EHR/practice software)
As our Technology & Content Administrator, you will serve as the sole point of contact for all IT-related matters across the organization, you will be responsible for maintaining and enhancing the organization’s digital infrastructure, ensuring data security and compliance, supporting internal systems, and strengthening the company’s online presence. You will work with the administration and clinical department to streamline workflows, support staff, and ensure a consistent and efficient technology experience.
Key Responsibilities
Technology Strategy & Business Operations
- Analyze and evaluate business systems and user needs; document requirements and define technical objectives.
- Research and implement software, tools, and processes that align with business goals and enhance productivity.
- Lead technology selection, integration, and ongoing support for internal systems and practice management software.
- Collaborate with cross-functional teams to optimize digital workflows and internal communications.
Website Management & Digital Content
- Maintain, update, and improve company websites (WordPress, Squarespace), ensuring performance, responsiveness, and security.
- Manage digital content, create landing pages, and apply SEO best practices to improve reach and engagement.
- Oversee integrations with e-commerce platforms, LearnWorld, and payment processing systems.
Systems Administration & Technical Support
- Administer Google Workspace: manage user accounts, access permissions, storage, group settings, and password resets.
- Provide internal IT support, including hardware troubleshooting, device setup, and resolving software-related issues.
- Assist HR with IT-related onboarding/offboarding processes and staff technical training.
- Coordinate with vendors and third-party support as needed to address software or hardware concerns.
Software Integration & Reporting
- Oversee and maintain integrations between QuickBooks (Desktop or Online) and other business tools.
- Support the setup and monitoring of clinical systems or practice management software (EHRs).
- Ensure the accuracy of financial data and assist with reporting, syncing, and invoicing processes.
Cybersecurity, Compliance & Data Protection
- Implement, monitor, and maintain cybersecurity and data protection protocols across systems.
- Ensure systems comply with HIPAA and contractual obligations for privacy and data security.
- Manage encryption protocols for client and financial data.
- Support completion and maintenance of security documentation and Business Associate Agreements (BAAs)
Qualifications & Requirements
- Degree in Computer Science, Information Technology, Digital Media, Wed Development or Web Design, Communication, Marketing, Business Administration, or a related field.
- 3+ years of experience in IT Support, Content Creation, Website Management or a similar role.
- Strong leadership skills with the ability to collaborate across departments.
- Proficiency in Google Workspace, QuickBooks, and Cybersecurity best practices.
- Experience in process improvement, business analytics, and developing technical standards.
- Ability to troubleshoot system errors and implement problem-solving strategies.
- Exceptional communication skills for liaising with stakeholders and training staff.
- Preferred experience in hardware installation, networking, and connectivity solutions
Preferred Skills & Experience
- Proficiency in:
- Google Workspace Admin Console
- WordPress, Squarespace, LearnWorlds
- SEO tools and basic graphic/content creation
- QuickBooks (Desktop or Online) integrations and financial reporting
- Familiarity with:
- EHR/practice management systems
- IT troubleshooting and device setup
- Data security standards and HIPAA compliance
- Networking basics and cloud-based software solutions
- Experience in healthcare, behavioral health, or educational consulting is a plus.
- Strong communication, documentation, and organizational skills.
- Self-starter with the ability to work independently, manage competing priorities, and collaborate cross-departmentally.
